The Company is a medium sized auditing and Accounting firm based in Randburg Gauteng.
They audit and produce accounts for their clients.
The Company handles the accounts and tax returns for more than 2000 clients.
They required immediate access to documents, the ability to share documents and to take copies
of documents on site.
The Company purchased their version of DocMan in July 2000. In excess of 2500 client
Filing Cabinets are stored on their DocMan system within which are more than 20 000 folders.
Special features of DocMan allow them to import client details and create Filing Cabinets for each client.
Other features allow the creation of a set of standard folders for each client, e.g. Working Papers 2003,
Tax 2003, Permanent File.
At any stage a new folder can be added to a client or all clients. The system is networked and
all staff can view the documents except where a folder or Filing Cabinet has had a security
level attached in which case they can only view documents with a security level equal to or
less than their own. One person is charged with scanning and indexing the documents into their system.
Audit clerks can, with the help of a authorized person, have an indexed copy of their working papers
for a client created on their laptop or a CD for onsite reference.
