The Company is a large insurance underwriting company based in Randburg, Gauteng.
Its clients insure household and car through the company. Claims are processed at
their offices.
The Company receives in excess of 4000 faxes per day relating to claims
and new policy details. A system was required where incoming faxes and letters could
be stored for access by any authorized employee.
TThe Company purchased their version of DocMan in April 2001.
Their requirement was to store documents by client. One folder in the clients Cabinet
would be for Underwriting software. A new folder would be created for each claim
lodged by that client. We created an interface to their database in which a
Filing Cabinet and Underwriting folder is created every time a new client is
added to their system. Whenever a claim is lodged a new folder is created for
that claim. When a document is received their capture screen only required them
to select the correct folder for the document, all other indexing is generated
from the details stored in the Filing Cabinet and Folder details. Initially the
Company captured all documents via a dedicated scanner and then indexed them
by selecting the correct Folder. In December 2002 the Company decided to install
a network fax server. After investigation it was decided that they would install
Castelle. We were requested to develop an interface in which all incoming faxes
were transferred immediately to the scanning system for indexing at a later time.
The system was further modified to copy the fax to a storage location and then
move the fax into DocMan, giving a backup if, for some reason, documents could
not be found in the Castelle system. The system was implemented in February 2003
and has proved successful.
