The Company is one the largest distributor of paper products in South Africa.
It has 2 divisions. Head Office is situated in City and Suburban Johannesburg and
the Johannesburg distribution center is situated in John Street, Ophirton.
The Company required a Proof of Delivery solution that would, at
the same time, allow speedy and efficient capture, indexing and error reporting
of PODs and reporting of any outstanding PODs.
The Company purchased DocPOD in July 2001 for their Johannesburg
distribution center. The system is hosted at their John Street distribution
center with one scan point using an Avision 820 20 page per minute document
scanner. They process 600-900 invoices daily. The Debtors controller is located
at the same place and ensures on a daily basis that all outstanding PODs are
followed up. Daily sales reports are created and sent to the server and then
imported into our POD Server software. Scanning and indexing takes place at
each of the distribution branches. Each evening a matching download takes place
in which indexed PODs are matched with the outstanding list. All matched PODs
are available immediately over the LAN. Debtors controllers can access any POD
immediately and can fax, print or email copies to clients on demand. The
system registers whenever a POD is emailed to a client and allows a diary to be
built up on each POD for future reference. The Company is are very happy with
the DocPOD system and have ordered and installed duplicate systems for their
Cape Town and Durban distribution centres.
