eMessage (Internal Company Messaging)

Internal Company Messaging was developed at the request of a client who wanted a simple, easy, quick to use method of entering messages received over the phone for employees as well as messages from one employee to another.
If a company has internal email this can be used for the same purpose but it has two drawbacks.

  • It takes time to start the application, select the person to send the message to, enter the subject and then the message.
  • The information can be saved within the email system but can be deleted by either the sender or the recipient.

Our messaging system consists of 3 modules.

  • eMessage - This module is available to all staff. As each staff member accesses the system he is automatically created as a valid message recipient. The message screen pops up. Whoever receives the phone call or wants to send a message enters a subject and the message and then selects the recipient from a list of valid message recipients. The system also allows the creation of message groups (i.e. valid message recipients) with the same common interests. If a message group is selected then the message is sent to all members of that group except the sender. If the sending computer is a Windows 2000 or XP computer a winpopup message will be sent to each of the adressees. A sender can view all of the messages he has sent, a recipeint can view all the messages sent to him, a supervisor can see all the messages sent to him and to all other users except those messages sent as private.A a recipient views a message the time and date of viewing the message is logged ensuring that no one can say they did not see the message. There is a reply to message facility with the option to include the text of the original message.Standard message templates can be created by supervisors reducing the amount of typing
  • eSupervior - This module is available to users with supervisor rights. This allows supervisors to create message groups, disable users logins (either because a user has left, or because the user is on leave or should not receive any messages temporarily.) This also allows the supervisor to create standard messages.Finally the supervisor can archive messages before a certain date.
  • eArchive - Once messages have been archived this utility allows viewing of archive messages.
